Check the existing agreement first

Review notice periods, renewal dates, outstanding charges and any transition commitments. Identify software or hardware bundled into the current arrangement. Some items may stop working when a subscription ends.

Choose a transition window around payroll, reporting, trading and other important business dates. Avoid scheduling several unrelated technology changes at the same time.

Build an inventory you can use

List domains, email, collaboration tools, internet connections, devices, servers, cloud services, backups and important applications. Record the business owner, supplier and administrator for each.

Ask for current network details, configuration records, licence information and recovery procedures. Record missing information as a task with an owner, rather than assuming it will appear during handover.

Transfer access securely

Confirm that the business controls the recovery email, billing and administrative ownership of key accounts. Agree a secure transfer method with the providers. Do not put passwords, API keys or recovery codes into an enquiry form or ordinary email.

Use individual administrator accounts where supported. Plan multi-factor authentication and emergency access so that removing the outgoing provider does not lock the business out.

Sequence the responsibilities

Write down who handles support, monitoring, backups and urgent escalation during each stage. A short overlap may help, but only if both sides know which provider can make changes.

Start with documentation and verification, then move responsibility in an agreed order. Avoid changing infrastructure simply because a new provider has arrived; separate urgent fixes from later improvements.

Verify and close the loop

Check that users know how to get help. Verify important access, alerts and backup responsibilities. Arrange a recovery test where it is appropriate and within the agreed scope.

After acceptance, revoke unnecessary provider access, rotate shared secrets through the agreed process and confirm which subscriptions continue. Keep an outstanding-issues list with dates and owners.
